Quick Question: Aggregate View/Edit of Requisitions

There has been a request from Malawi around a need for an aggregate view/edit of requisitions from multiple facilities (within one program). A draft description of the feature is below and still being worked out. We also noticed that Liberia may have a similar need (after briefly reviewing SOPs). Does anyone know of other implementers or countries that would want a similar feature?

I am trying to gauge the need for the global product to support this use case. Concurrently the team is working on estimates of LOE so that we can assess and discuss prioritization. Your timely feedback and thoughts are appreciated.

Draft: Aggregation feature within Requisition approvals

· Approval step in requisition process including aggregate/summary view of the entire district (including HF breakdown)

· A) approval would proceed with individual forms but with a view (and edit) across multiple facilities

· B) Approval of aggregated req/batch approval of all forms from the district’s facilities. A new requisition to be fulfilled by the national story, which aggregates the HFs

Option 3A: “Batch View”

Create a Batch View where an authorized user can review, revise and approve multiple requisitions (a batch) all together at once. The user would select multiple requisitions, and all of those would load into a view on the screen to see each facility’s requested quantity, the price for that product, and totals for the price. The user could revised any Approved Quantity field(s). The total price values for each product, facility, and for the district would change as the user edits Approved Quantity values. The user could save these revised requisitions with the revised quantity values and could Approve them all. At that point, the OpenLMIS system would contain all of the original requisitions, but with the new Approved Quantity values and prices. Each requisition could be individually converted to an order or tracked for shipment.

Option 3B: “Aggregate Requisition”

Step 1: would be the Batch view step above

Step 2: an aggregate report would be generated for a separate approval by someone.

After the Batch step described above, the system would automatically create an “Aggregate Requisition” that would include all the final total quantities from the set of requisitions for the district. This Aggregate Requisition would be a new requisition in the system, with the added capability of For One district there is an individual requisition with the District totals. Meaning someone needs to log into the system and see a view with just the totals and no longer see the by facility approved quantities.

· Open Question on 3B : during step 2, can there be edits to the total district approved quantity? If yes, then would you want a modal or something to pop up every time an edit occurred in the approved quantity to determine which facility is increased or decreased in stock?

· Open Question on 3B : is the aggregate requisition what Sage takes in? Who then determines what goes to which facility?

Hello Mary Jo,

This sounds like a similar request for the last step of the VIMS whereby Bulula (logistician within the Immunization and Vaccine Development team) aggregates all of the quarterly requests from the Regions before submission to the Medical Stores Department (MSD).

A member of the VIMS team might even have an example output of what he is sending to MSD.
